How to Book the Accommodation

A variety of hotels from luxurious to economy categories and student hostels will be available for participants of the ICMP Congress.

How to reserve the room

Participants are advised to make reservation through the Congress Secretariat at reduced rates. To book a hotel room it is necessary to complete the On-line Hotel Booking Forms and submit it to the Congress Secretariat before June 1, 2009. Second choice should be indicated.

The full pre-payment will be required with any reservation request - based on your first-choice hotel preference. No accommodation can be guaranteed without it.

Deadline

Rooms will be allocated on a first-come first-served basis. In case the hotels of your choice are full, the Congress Secretariat reserves the right to accommodate you in a hotel of similar category. Hotel Booking Forms received after June 1, 2009 will be accepted though the reservation cannot be guaranteed.

Confirmation of hotel reservation

Upon receipt of the on-line booking request and full pre-payment, Conference Secretariat will send to the delegate "Confirmation of the Hotel Reservation" with the name of the allotted hotel, exact address, type of room, term of stay, price per night and total price. An important part will be also the cancellation conditions which will apply for the respective hotel reservation.

Payment conditions in general

For all hotels and hostels full prepayment will be required to guarantee the booking. Upon receipt of the full prepayment the Congress Secretariat will issue the official tax invoice and Hotel Voucher and send it to the delegate. The Voucher is to be presented at the reception of the respective hotel upon arrival.

Payment for accommodation must be settled in EUR by:

Credit Cards

Mastercard/Eurocard, VISA, Diners Club and American Express credit cards are accepted. Please enter your credit card number, expiry date and cardholder´s name in the appropriate space on the Hotel Booking Forms. Do not forget to enter also the CVC2 (MasterCard/EuroCard) or CVV2 (VISA) code which is printed on the reverse side of your credit card at the signature panel (last three digits). Please fill in the billing address (American Express only).

Please note that all bank charges must be fully covered by the participant.
A copy of the bank transfer must be sent by fax or e-mail to Congress Secretariat.

Cancellation, refunds & changes

The Congress Secretariat must be notified in writing on any change or cancellation of a hotel booking. Please do not contact the hotel directly in case of any reservation changes or cancellation. The following cancellation conditions will apply:

In case of No Show the room is kept for you until 12:00 of the day following after the day of expected arrival. Afterwards the room is offered as freely available. The Congress Secretariat reserves the right to charge a handling fee of EUR 10 for any change in the confirmed reservation. Mentioned conditions are valid only for individual bookings (up to 5 rooms in total). In case you are interested in making a hotel reservation for a group (more than 5 rooms in total), please contact the Congress Secretariat.

Any refunds will be processed only after the Congress.
